Hostel Booking Procedure
for the Christian Rambling Club

for MOST events after 1st January 2003
(the programme will indicate where this is to be used)

PLEASE HELP THE YHA & THE CLUB BY BOOKING AS EARLY AS YOU CAN.

Note: You do not need to be a YHA member to use this booking scheme

1.

Contact the event leader or bookings contact to check that the event is still as advertised, whether there is still space available on the event and whether it is suitable for you (please advise them of any significant medical condition that you have). They will usually ask where you will be travelling from and whether you need or can offer a lift. Telephone bookings will be held for 7 days pending receipt of your booking form (see the next step for this) and payment.

Make arrangements to go to the event. Event leaders may be able to help but be prepared to travel to connect with a lift. Be realistic when planning your journey, and allow for possible delays. Most hostels open at 17:00 (5pm) and are locked at 23:00 (11pm). Reception may be closed after 22:00 (10pm). If you are unavoidably late, please phone the hostel before 22:00 to let the staff and event leader know the situation.

CRC YHA Group Reservations procedure

  • This system can only be used to book for the full duration of the event
  • If you are eligible for a reduction ("UB40 rate") you can also use this procedure. The under 18 overnight rate applies - you must be prepared to show evidence of eligibility if required

1. Click here to download the Booking Form (note: this version is good in MS Word)

2. Print the Booking Form, and complete the details

3. If you require hostel meals, you must order them and pay for them at the time of booking. Costs are: Breakfast £3.60, small packed lunch £3.20, standard packed lunch £4.10, Evening meal £5.20. Please make a note of which meals you order

4. YHA vouchers can be used with this scheme (please enclose them with your booking form)

5. Cheques should be made payable to "YHA" and will not be paid in until after they have been received by the YHA Group Reservations Office (note: It is no longer necessary to deduct the £1 deposit per person per hostel)

6. Please enclose a stamped self-addressed envelope to confirm your booking is received

7. Send the completed form with payment to the person stated on the programme (they will then forward all the forms and cheques to the YHA Group reservations Office 4 weeks before the event. GRO will then notify details to the hostel and send receipts for credit card payments to CRC members

Cancellations

Please tell the leader (or bookings contact if there is one) if you need to cancel - someone could take your place and you'll avoid the leader waiting up for you to arrive!

If you still need to cancel the hostel place:

  • if you used the CRC Booking procedure (i.e. money payable to YHA) then contact the YHA Group Reservations Office (for contact details click here) and the following cancellation charges apply
  •  

3-4 weeks before arrival - 35% of total cost,

-3 weeks before arrival - 50% of total cost

1-2 weeks before arrival - 75% of total cost,

less than a week before arrival - 100% of total cost

  • OR if you have booked direct with the hostel, you must let the Hostel know (see the YHA Handbook or the YHA website) and the normal YHA cancellation policy applies (see the YHA website or the YHA guide)
  • if the CRC has handled the booking (i.e. money payable to Christian Rambling Club) and if you notify us 2 or more weeks before an event then a full refund is available less a £2 administration fee. If you notify us within 2 weeks of the start of an event then in most circumstances 50% of the total money paid will be refunded. We are unable to provide refunds for cancellations made less than 1 week before the event except in exceptional circumstances.
    All applications for refunds from bookings handled by the CRC must be sent to the treasurer (details inside the newsletter)
