Annual General Meeting

 

This was held at Malham Youth Hostel on Saturday 30 April 2005.  Alison started the meeting with a talk on Corinthians which is summarised in the chairman’s chatter on the preceding page.

Reports were presented by the various committee members about what is happening in the club.  The main issue was the new booking system - details below.

Charlotte and Steve Graham decided not to stand again as committee members and Pauline Horwill and Sue Frost were elected as secretary and programme secretary respectively.  All other committee members were re-elected.

 

New Booking System

 

YHA have ceased their special bespoke booking contract with us for hostel reservations.  We now have to use the standard group reservation system, which means that a lot of money has to be paid in advance, 25% of the full cost of the booking 6 months prior to the event and the balance paid 8 weeks before.  This could mean serious financial problems for the club.

After much discussion we have decided, for the standard weekends, to book the minimum number of beds in the scheme (i.e. 5) so as to make the event viable.  We would then ask all other participants to book themselves into the hostel direct.  More beds will be booked for larger events.

 

Cancellation charges are as follows:

New Booking System - Questions and Answers

What if I want to book after the stated deadline?

Please contact the event leader.

What if I don’t know what meals I need at the time of booking?

The committee advises that you only book the meals that you know you will take at the time of booking, as cancellation charges apply to meals as well as beds.  Most wardens are flexible and meals can be ordered later, but cannot be guaranteed.

Are there any advantages for me?

Yes.  A small set number of beds will still be reserved, so it is less likely an event will have to be cancelled.

Do I need to be a member of the YHA?

If you are booking the reserved beds for the full event you do not need to be a YHA member, but if you are booking directly with the hostel you will need to be a YHA member or pay an extra charge of £3 per night.

What if I only want to stay for part of the event?

In this case, let the leader know and book directly with the hostel.

What if I qualify for concessionary rates?

You will need to book the hostel directly.

What should I do if I need to cancel my booking?

Notify the event leader as soon as possible.  Otherwise, contact the programme coordinator.

 

Prayer Focus: Living under Pressure

 

There are times when everything seems to be needed at once, sudden demands are made, other people’s situations seem to prevent you getting things done as you planned, your deadlines seem beyond manageable control...

Lord thank you that everything is known to you, that things are never beyond what you can undertake.  Thank you that your provision and supply is endless, that your power is experienced when we are at our weakest and beyond our own resources.  Thank you that you do things perfectly and in ways more than we could ask or think, when we seek you.  Thank you that you often permit our circumstances to reach such a point to turn our mind to what you can do.

Please give us grace to trust you in these times and remain calm towards others.  Please help us to experience what you have planned regarding knowing you in our situations.  Thank you that these times can feel often seem breathtaking when we see you at work in our lives for your glory.

Please be with those we know who are experiencing extra demands which seem out of control, including carers of needy family members, parents with unending responsibilities, and any of us who had not expected things to be as they are.  Thank you that you have said you will restore us to yourself after we have been tested a little while.  Please help us all to keep going with hope until the situation eases.
